Operations Specialist

FOCUS Sports Business School is looking for an Operations Specialist to support the delivery and day-to-day operations of our executive education programmes, events and wider business activities.
FOCUS works with faculty, participants, alumni and partners across different countries and time zones. As our activities continue to grow, we are looking for someone who can bring structure, reliability and strong execution to everything happening behind the scenes.
This is a hands-on role for someone who enjoys organising, coordinating, solving problems and making sure things get done properly and on time.
The Role
You will work closely with the Managing Director and take responsibility for the operational coordination of FOCUS activities.
Your role will sit at the centre of our programmes, faculty, participants, systems and events, ensuring that everyone has the information and support they need and that operational details are consistently handled to a high standard.
Programme Operations
- Coordinate the operational delivery of FOCUS programmes from preparation through completion.
- Maintain programme calendars, schedules, session information and key deadlines.
- Coordinate live sessions and ensure everything is prepared in advance.
- Ensure programme materials, links and relevant information are available when required.
- Maintain programme environments and learning platforms.
- Coordinate recordings and ensure they are processed and made available to participants.
- Track programme progress and identify upcoming operational requirements.
- Support the preparation and completion of programme assessments, certificates and other participant requirements.
- Ensure each programme follows a consistent operational standard.
Faculty Coordination
- Coordinate operational communication with faculty and guest experts.
- Confirm session dates, times and availability.
- Ensure faculty receive the necessary information, links and materials ahead of delivery.
- Maintain an up-to-date faculty calendar.
- Follow up proactively on outstanding requirements.
- Coordinate relevant travel and logistical requirements when necessary.
- Ensure changes or potential problems are identified early and communicated internally.
Participant Experience
- Coordinate participant onboarding before programmes begin.
- Ensure participants receive access to the relevant platforms, materials and programme information.
- Manage operational participant communications throughout the programme.
- Respond to participant questions and ensure issues are resolved quickly.
- Track attendance and participation where required.
- Support surveys, feedback collection and programme evaluations.
- Ensure participants experience a professional and well-organised journey from onboarding through programme completion.
Community & Alumni Operations
- Support the operational management of FOCUS communities.
- Maintain accurate participant and alumni information.
- Coordinate community activities, meetings and communications.
- Support alumni engagement initiatives.
- Ensure relevant participants and alumni are connected with ongoing FOCUS activities and opportunities.
Events & In-Person Activities
- Support the planning and operational delivery of FOCUS events, forums and in-person programme activities.
- Coordinate venues, schedules, attendees and suppliers where required.
- Prepare participant and faculty information before events.
- Support event registration and communications.
- Ensure operational requirements are identified and completed ahead of each event.
- Complete delivery during event preparation and delivery.
Systems & Administration
- Maintain accurate internal records and operational documentation.
- Keep programme, faculty, participant and alumni information organised and up to date.
- Maintain clear internal folders, files, templates and documentation.
- Support the administration of FOCUS’s digital platforms and tools.
- Create and maintain operational checklists and workflows.
- Ensure important information does not remain in individual inboxes or private communication channels.
- Support basic reporting and data preparation when required.
Process Improvement
We do not only want someone who follows existing processes.

You will be expected to:
- Identify operational gaps and inefficiencies.
- Develop better workflows and processes.

- Help build an operational structure that can scale as FOCUS grows.

Previous experience in one or more of the following would be particularly relevant:
- Programme operations
- Education or executive education
- Event operations
- Project coordination
- Business operations
- Customer or participant experience
- Sports organisations
Experience in football or sport is an advantage, but strong operational ability is more important than industry experience.
Excellent written and spoken English is required.
